When you need this form

Crowd work generates a running story: radio traffic, ejections, medical calls, refusals, lost children, weather calls and handovers between shifts. A communications log is where that story gets written as it happens. Venues and event promoters expect a licensed security provider to hand over a complete timeline after the gates close, and licensing bodies expect the same record if something goes wrong.

Notebooks get wet, lost, or written up hours later from memory. Entries typed on the spot carry their own timestamp and the guard who made them, so the sequence cannot be reconstructed after the fact. When police, an insurer or a licensing review asks who knew what and when, that ordering is the whole answer.

What good looks like

• Every entry timestamped with the officer's name and post or zone.
• Observations separated from actions taken, so the decision trail reads clearly.
• Escalations recorded with who was called and what they instructed.
• Photos or footage references attached to incidents, not described from memory.
• Shift handover captured: open issues, headcount, equipment passed on.
