When you need this form

Take on a building and the first job is establishing what condition it is actually in. Lobbies, lifts, corridors, car parks, toilets and end-of-trip facilities get walked and scored, with defects logged where they are found. The same inspection then repeats monthly or quarterly to show the owner that upkeep is happening and that reported faults are being closed.

Condition disputes are expensive. When a lift fails or a slip claim lands, the question is when the defect first appeared and what was done about it. Photos pinned to a location and a date build that timeline as you walk. A Word report typed up back at the office loses the detail and, usually, the photos.

What good looks like

  • Each area scored consistently, so results compare across inspections.
  • Defects photographed in place, with severity and a corrective action assigned.
  • Lighting, signage, egress paths and handrails checked, not just cleanliness.
  • Previous defects revisited and marked closed, deferred or still open.
  • Inspector name, date and GPS location captured on the record itself.

Common-area & amenities inspection, answered

Is this a PDF or Word template?

Neither. It is a live form: your crew opens it on their phones, ticks it through, attaches photos and signs on the glass. Every submission is timestamped, GPS-pinned and stored as proof.

What should a common-area inspection cover?

Lobbies, corridors, lifts, stairs, toilets, car parks and external amenities. Check cleanliness, damage, lighting, signage and egress paths, then record defects with photos and a corrective action for each.

How often should common areas be inspected?

At handover of a new building, then on a set cycle. Monthly suits high-traffic sites, quarterly suits quieter ones. Owners and insurers generally expect a documented cycle rather than ad hoc visits.

Can I buy just this one form?
